Our Workspace Experience & Culture Team owns the employee experience across facilities and real-estate, workspace planning & design, food & beverage, and event planning.
As a member of our Workplace Experience & Culture team, you will be the face of our Paris Headquarter to all employees and visitors providing an exceptional workplace experience which amplifies our culture(e)This is an employee facing, service focused role where you will provide hands-on support for all things Workplace Experience(e)You will own the day to day operations of our HQ which includes the on site support of our HQ, vendor onboarding and management, process development and streamlining, special department projects, and more.
We’re looking for someone who understands and operates well in a fast paced startup culture and embraces change and creative problem solving(e)In addition to supporting the workplace team you will partner with our IT and functional departments to provide a great working environment (remote & on site)(e)This is done with creativity and constant drive to learn new things(e)The ideal candidate is an organizational rockstar with a passion for building and streamlining processes at scale to ensure an exceptional user experience.
We have a hybrid work environment and teams spend meaningful time in the office, but also working remotely from home, which means the person in this role should be a proactive problem solver and someone who is always looking to help us take our employee experience (EX) to the next level.
Office management (70%)
- Manage the day-to-day office operations of our Paris Headquarters to ensure that the office environment runs smoothly (clean, tidy, stocked and organized) and offers employees the ultimate experience of our culture(e)Own workplace requests in our ticketing and slack tools to respond swiftly, proactively communicate issues/queries on the radar and inform on actions in flight and timelines to complete.
- Own and manage the France workplace budget across vendor relationships and inventory management including cleaning crews, COVID sanitary measures, snacks and beverages, office supplies, and all the other important items to ensure a pleasant and frictionless experience for our employees
- Greet guests and with a memorable experience the reflects our culture
- Assist with onboarding of Spendeskers and be an ambassador of our culture! Partner with Talent Acquisition, IT, People Operations and Hiring managers to arrange welcome kits and equipment delivery before day 1, support in setting up workspace (office assigned or remote setup), and generally being a welcoming, supportive go-to resource to help direct new joiners to the right people for questions
- Partner with the People Partnership and IT teams to provide a positive farewell experience to Spendeskers who are offboarding(e)We want their last days to be as positive as their firsts! Coordinate the return of equipment,
- manage the Paris workplace budget to optimize investment in our teams(e)Build relationships with suppliers and vendors to optimize reliability, consistency and costs(e)Coordinate and communicate with vendors and contractors for access and completion of work, which may include after-hours work
- Project manage the planning and executing company-wide events on-site and off-site, as well as department events in the Paris location(e)Extensive coordination with external vendors to ensure high quality services at the best pricing possible
- Responsible for the office event setups and breakdowns, including new joiner orientation, happy hours, celebrations, all-hands department meetings, and other office events
- Assist with the organization and delivery of our new joiner orientation in the Paris HQ on a monthly basis(e)Assist in communication, organization of facilities, snacks, food and beverages, transportation, and generally providing a magical experience for our new joiners to immerse in Spendesk norms and culture in their first month
Future of work (30%)
- Plan and lead the Paris office(s) planning inclusive of design, layout and ways to optimize our experience in the office together as we scale our organization
- Research, pilot and implement workspace solutions that amplify our unique culture and finding new ways to delight the team in both in office and out of office experiences
- Engage with employees to understand their preference on the future of work and to provide creative ideas and influence new ways of working to align to business goals and financial priorities
Soft & Hard Skills
- You have at least 5 years of experience in office and/or facilities management
- You have a passion for the future of work and thinking through how to amplify culture and experiences in the new "hybrid" environments(e)Ideally but not required, you have experience in helping companies think through workspace planning and new ways of working
- You are calm under pressure, can effectively prioritize, multitask and manage time
- You have exceptional organization skills and strong attention to details with a keen eye for accuracy
- You have strong project management and change management capabilities
- You are able to effectively communicate with the team at large and across office locations
- You have great interpersonal skills and are well-known as a collaborator
- You have a strong experience in budget management, expense control, and invoicing record & control
- You take pride in your work and have initiative and drive
- You are able to think outside of the box to get things done in the most efficient and cost-effective way
- Strong organizational skills and collaborative style
- You have a passion for service and are an utmost professional
