YOUR ROLE
As the office manager of the Shift Technology headquarters in Paris, you will be at the heart of all employee and client interactions with our Paris office, you will be the ambassador of Shift and convey our image to our employees and clients.
YOUR RESPONSIBILITIES
- Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
- Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands and general employee queries
- Purchasing office supplies and equipment and maintaining proper stock levels
- Implementing and maintaining procedures/office administrative systems including ensuring that all health and safety policies are up to date
- Supervising and monitoring the work of administrative/building staff
- Management of cleaning staff and office vendors
- Maintaining general office cleanliness- ensuring office looks presentable at the start of each day
- Organising company events or conferences, both onsite and offsite
- Assist with management of all Shift offices, globally
- Coordinating domestic and international travel
- Assisting with the onboarding program of new employees
- Assisting the HR team and Executive Assistant(s), as needed
- Coordinate with IT department on office equipment
- Creating presentations and other management-level reports
- Being a communication hub for all employees, readily available to assist in any way possible to ensure our entire team is well taken care of
QUALIFICATIONS
We’re looking for an energetic, versatile professional who is experienced in handling a wide range of administrative tasks and is able to work independently with little supervision(e)This individual must be sensitive to the challenges of creating a positive and quality work environment and be well organized(e)This individual must have a real sense for hospitality and a positive, team player attitude who enjoys working independently or within a team.
- Fluent in English and French
- Proven office management, administrative or assistant experience
- A bachelor's degree or equivalent
- 3-5 years of experience
- Proficient in Microsoft Word, Excel, and PowerPoint and Google Suite
- Excellent communication skills (both written and verbal)
- Ability to problem solve and make decisions
- Attention to detail and time management skills
- Planning and organizational skills for both large and small scale projects/events
- Ability to take initiative and work independently
- A true team player with a positive attitude
