Artifakt is looking for an Office Manager to join us in 2022 to work directly with our co-founders to provide crucial organization support and make an immediate impact.

 

What You’ll Do:

CEO & Managing Director support

  • Manage and prioritize internal and external requests to determine the urgency and parties and an appropriate level of response;
  • Produce and maintain up-to-date management-level reports - including data collection and consolidation from team managers or through internal tools;
  • Help prepare agendas, presentations, and materials for internal needs, investors/VCs and Board meetings;
  • Coordinate administrative workstreams and optimize work efficiency(e)Act as a liaison with team managers and leaders;
  • Identify and refine gaps in internal communication and escalate appropriate issues.

Finance & Legal support

  • Manage accounts payable & receivable: expenses monitoring, bank reconciliations, invoicing and collection..(e)(we use Qonto, Stripe and SalesForce);
  • Liaising with our counsels (lawyers and accountant) and be a point of contact for public administrations.

Human ressources

  • Manage payrolls and benefits (we use Payfit, Alan and Swile);
  • Prepare and manage new employee onboarding;
  • Help to keep a pulse on company's culture and team morale (team building, internal communication, knowledge base...).

Office management

  • Manage the flow of incoming and outgoing letters;
  • Manage the relationships with service providers and suppliers;
  • Occasional events organization (eg(e)quarterly team events, annual offsites, trade-shows if needed).

 

You're a great fit for this role if:

You have experience as an Assistant or Office Manager, ideally for BtoB companies - providing support at an executive or managing level.

You are used to assist with finance process and/or act as a coordinator for sales administration.

You are able to assist with HR related topics (eg(e)payroll, personnel administration, onboarding).

You are highly organized and know how effectively prioritizes and responds accordingly.

You have a strong written and verbal communication skills in French and English.
