Reporting to the Sr(e)Director of Employee Experience, this position is responsible for owning and developing Office Operations in our EMEA offices(e)The Office Manager is involved in the activities that ensure an adequate and properly functioning work environment(e)
The main responsibilities for this role will be to track and manage day-to-day vendor relationships and expenses to ensure upkeep of amenities and equipment(e)You will play an essential role in both bringing our office into a new remote first / hybrid work model, as well as supporting employee engagement, both in person, and virtually(e)Algolia’s culture requires an emphasis on adaptability and grit in a rapidly growing corporate setting.

YOUR ROLE WILL CONSIST OF:
- Ensure smooth running of both offices, ordering, scheduling of guests and working with the building facilitators
- Support occupancy planning; coordinating and facilitating office moves and various office projects, and conducting floor audits/updates
- Regular interaction with internal customers to interpret their requests for service, provide excellent customer service and manage expectations
- Vendor management and selection
- Support office safety/emergency response program program
- Office supply program management including inventory review, stocking, and ordering
- Conduct daily office floor walks, logging issues for coordinating service or repairs
- Perform all administrative activities: internal coordination among Algolia offices, reception, meeting set-up, calendar management, office equipment, and supplies, etc.
- Manage logistics for internal and external events, scheduling and execution (i.e.: Meet-up, holiday party, annual team development event & happy hours)
- Manage event budgeting, contract negotiation, vendor & catering selection
- Introduce new initiatives and programs to keep the office culture outstanding
- Coordinate new hire orientation (laptop distribution, office orientation, scheduling training as needed)
- Proactively identify key priorities, deadlines, and deliverables
- Manage expenses & travel for executives
- Work on special projects as requested
YOU MIGHT BE A FIT IF YOU HAVE:
- At Least 4 years experience in Office Management
