Your Mission

We’re looking for an experienced Office Manager to join our BlaBlaCar team in Paris. 
You will contribute to manage our office space in a central Paris location, whilst providing support for our daily administrative tasks.
You will join a dynamic team within an ever-scaling company that now boasts more than 700 employees across 10 countries worldwide.
What you will directly contribute to ensure the smooth running of the office, always driven by our values, and respect of the environment, sustainability and eco-friendly approach.

Your responsibilities

  • Supervising the welcome desk and the hostess 
  • Managing the relation with many suppliers (La Poste, DHL, Cleaning company, Coffee, Plants..)
  • Managing all of the office organization, including admin tasks
  • Managing budget : Requisition & Reception of the facilities team
  • Providing administrative and organizational support for the facilities team: taking care of payments, invoicing, expenses reports, etc.
  • Ordering office supplies, general supply for the kitchen and some furniture
  • Contacting the suppliers, negotiating rates with them along with checking inventory
  • Organizing the Facilitites' Google Drive
  • Helping in various projects (implementation of new processes, layout of the workspace, improvement opportunities …)
  • Following up with the Healthy and safety training (First Aiders & Fire Wardens, fire extinguisher maintenance)
  • Working together with the People & Engagement team with onboarding & offboarding (welcome kit, badge, ..)
  • Keeping in touch with several teams to support them with the logistic of different events inside and outside the office
  • Managing inventories and classification of our different storage
  • Archiving and filing official documents
  • Keeping team members happy and make sure they have everything they need 

Your qualifications

  • Minimum 5 years of relevant work experience
  • Fluent written and spoken French & English is a must 
  • Ability to create and maintain a friendly, welcoming and warm atmosphere in the office
  • Ability to communicate via different tools (Slack, Gmail, JIRA, …) 
  • You’re a true multi-tasker and know how to deal with variety tasks including unexpected tasks
  • Excellent team-work attitude and ability to execute and deliver on projects in a timely manner
  • Problem solving skills and analytical skills
  • Accounting knowledge and experience
  • Attention to details, organized and thorough with a desire for continuous improvements
  • Experienced use of G Suite and Microsoft Office (especially Excel, Word, PowerPoint), Slack, Mailchimp, Canva
  • Self-confident, uses good judgment and able to make sound decisions 
  • You have excellent communication skills and enjoy sharing and learning from others
  • You are organized, results-driven, and are able to prioritize in a changing environment
